[Salon name] cancellation and no-show policy

We keep every appointment just for you, so a late change means a chair that stays empty. This policy keeps things fair for our clients and our team.

Cancelling or moving your appointment

Please give us at least [24 / 48] hours notice if you need to cancel or move your appointment.

You can do this online, by phone on [phone number] or by message on [WhatsApp / email].

Colour, extensions and treatments longer than [2] hours need at least [48] hours notice.

Late cancellations

If you cancel with less notice than this, we may charge [50]% of the booked service price.

No-shows

If you do not arrive and we have not heard from you, we may charge [100]% of the booked service price.

We may ask for a deposit or card details to book again after a no-show.

Running late

Please call us if you are running late. If you are more than [15] minutes late we may need to shorten or move your service so we do not delay the next client.

Deposits

Some services need a deposit of [amount / percentage] to secure the booking. The deposit is taken off your final bill. It is [kept / refunded] if you cancel inside the notice period.

When we make an exception

We understand that illness and emergencies happen. Please tell us as soon as you can and we will do our best to be fair.

By booking, you agree to this policy.

How to write a salon cancellation policy that clients accept

A cancellation policy tells clients how much notice you need, what happens if they cancel late and what happens if they do not turn up. Without one, an empty chair is lost income and every case becomes an awkward conversation.

Keep it short, polite and specific. State the notice period in hours, the fee as a percentage of the booked service and when you take a deposit. Show it before the client books, not after. Clients accept a policy they saw at the time of booking much more easily.

This template is our own wording and is meant as a starting point. Adjust the notice period, fees and deposits to the services you offer, and check that it fits your salon before you use it. It is not legal advice.

Cancellation policies: common questions

How much notice should a salon ask for?

Many salons ask for 24 hours for short services and 48 hours for colour, extensions or long treatments. Choose the notice that matches how hard it is to refill the slot.

Should I charge for no-shows?

Many salons charge a share of the booked service or the full price for a no-show. Whatever you choose, write it in the policy and show it at booking, so clients agree to it in advance.

Where should I show my cancellation policy?

On your website, on your online booking page, in the booking confirmation and in reminder messages. Online booking can ask clients to accept it before they confirm.

Is the template free?

Yes. Download it, edit it and use it in your salon.
